HP PRINTER CONNECTION HELP

HP Printer Offline? Check the Connection and Print Queue

Independent printer setup and connection assistance from Instant Inks Services. Service for customers in the United States only.

Start here

To troubleshoot an HP printer showing offline, check its power and error messages, confirm the connection to your computer, and review the print queue. Test after each change. An offline message does not by itself identify a broken printer or mean you need a new one. Independent assistance is available for USA customers only.

Start with the exact message

Write down whether the computer says Offline, Unavailable, Paused, or displays a specific error. Also check the printer’s own screen or lights. These observations help you choose the next check instead of changing several settings at once.

For example, a printer that is ready but unavailable on one laptop needs a different investigation from a printer displaying a paper jam. If pages are coming out blank or with missing text, use our HP printer not printing guide to separate a connection issue from an output-quality issue.

Check the printer before changing computer settings

  1. Confirm that the printer is on and look for a message requiring attention. Follow its instructions for a paper, cartridge, or other reported error.
  2. Save your work, then restart the printer and the device you are printing from.
  3. For a network printer, consider restarting your router when it will not interrupt other people. Wait for the network to return before testing.
  4. Send one small document and note the result before continuing.

HP recommends working through its offline-printer checks in order and testing between steps. Once printing works, you can stop.

Confirm how the printer connects

For Wi-Fi: compare the network name on your computer with the network shown in the printer’s connection information. Follow the printer manual to find this information. Being able to browse the internet does not establish that the two devices are on the same network.

If you recently changed the router, Wi-Fi name, or password, check the printer’s current connection before reinstalling software. Our HP printer Wi-Fi setup guide covers the setup decision. A printer that supports a wireless test report can provide useful connection and signal information; use the instructions for your exact model. See HP’s Wi-Fi troubleshooting guidance.

For USB: check that the cable is firmly connected at both ends. Try another computer USB port if the device is not recognized. Microsoft includes these checks in its printer-detection guidance. Wi-Fi steps do not apply to a printer you are using only through USB.

Review an offline HP printer in Windows 11

  1. Open Settings β†’ Bluetooth & devices β†’ Printers & scanners.
  2. Select the HP printer you intend to use, then choose Open print queue.
  3. Review waiting jobs. If you choose to cancel a job, keep the original document so you can submit it again. Confirm with other users before clearing a shared queue.
  4. If Windows keeps choosing another printer, review the default-printer setting. Manual selection may require turning off the option that lets Windows manage the default.
  5. Run the printer troubleshooter in the Windows Get Help app if the connection still fails.

These menu names follow Microsoft’s Windows 11 instructions. Older Windows instructions may show different controls.

Review an offline HP printer on a Mac

Open Print Center from the Dock when a print job is active, or from the Utilities folder. Select the intended printer and inspect its status. Resume a paused printer or job after resolving any reported problem. If one failed job is blocking the queue, remove that job and keep its document for another attempt.

Also check the printer selected in the application’s print dialog. Apple recommends trying another application when a document will not print. See Apple’s Mac printing guidance and its Print Center instructions.

Use the test result to choose your next step

  • Another device prints successfully: start with the affected computer’s printer selection, queue, and software. This is a useful clue, not proof that every printer function is working.
  • No device can connect: return to the printer’s status and connection information before changing individual apps.
  • The printer is reachable but pages are blank: investigate the document, supplies, and model-specific print-quality checks.

A practical approach is to record one change and one result at a time. This makes it easier to explain the problem if further assistance is needed.

Common questions

Why does my HP printer show offline when it is switched on?

Power and communication are different checks. The printer may be on while its connection or computer queue needs attention. Check its own status, the connection, and the selected printer before deciding what to change.

Should I reinstall the printer immediately?

Start with the status, connection, and queue checks. If they do not resolve the problem, use the instructions for your printer model and operating system to decide whether reinstalling is appropriate.

Can Instant Inks help with an offline HP printer?
